1. Acceptance of Terms

By accessing and using this website (snowlaundry.com) and engaging with Snow Laundry services ("Company", "We", "Us", "Our"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to any part of these Terms, you may not use our Site or Services.

We reserve the right to modify these Terms at any time. Changes become effective immediately upon posting to the Site. Your continued use of our Site or Services constitutes acceptance of modified Terms.

2. Service Description

Snow Laundry provides commercial laundry services including:

  • • Bed linen cleaning (sheets, duvet covers, pillowcases)
  • • Towel and bath linen processing
  • • Specialty linen care (silk, Egyptian cotton, microfibre, spa towels)
  • • Dining and banqueting linen services
  • • Linen hire (supply and cleaning combined)
  • • Linen collection and delivery

Services are provided across central London and surrounding areas as specified in individual service agreements. Service availability and collection schedules are subject to route capacity and customer location.

3. Eligibility

You must be at least 18 years old and have the legal authority to enter into a binding contract to use our Services. If you are acting on behalf of a business, organization, or entity, you represent and warrant that you have full authority to bind that entity to these Terms.

4. Quotes & Pricing

  • Quote Validity: Quotes are valid for 30 days unless otherwise specified. Quotes are based on information provided and may be updated if requirements change (volume, collection frequency, linen mix).
  • Pricing Models: Services are quoted using per-kilo, per-item, per-turnover, per-occupied-room, or fixed-monthly pricing models as agreed in the service contract.
  • Price Adjustments: We reserve the right to adjust pricing with 30 days' written notice for cost increases in utilities, labor, or materials exceeding 15% annually.
  • Discount Terms: Any discounts are subject to volume commitments and contract minimums specified in the service agreement.
  • Seasonal Surcharges: Peak season surcharges may apply during holiday periods (Christmas, New Year, Easter) as notified in advance.

5. Payment Terms

  • Invoicing: Invoices are issued monthly unless alternative billing is specified in the contract. Invoices are sent by email.
  • Payment Due: Payment is due within 30 days of invoice date (Net 30) unless different terms are agreed in writing.
  • Late Payment: Overdue accounts incur interest at 8% per annum plus Bank of England base rate (or the maximum permitted by law). Late payments may result in service suspension.
  • Payment Methods: We accept bank transfer, card payments, and other methods as specified in the invoice.
  • Disputed Invoices: Disputes must be reported in writing within 14 days of invoice. We will investigate and respond within 7 working days.
  • Administrative Fees: A £25 administrative fee applies to returned checks or failed payment attempts.

6. Service Levels & Turnaround

  • Standard Turnaround: 24 hours (collection to delivery) for central London postcodes. Same-day service available on request (subject to capacity and booking time).
  • Collection Schedule: Collection days and times are agreed in the service contract and may be subject to change with 7 days' notice.
  • Holidays & Closures: We operate Monday–Friday. Bank holidays and company closures may affect collection schedules (notice provided in advance).
  • Route Capacity: Same-day and emergency service requests are subject to route availability. We will confirm capacity within 2 hours of request.

7. Linen Supply & Condition

  • Your Linen: If you provide linen for cleaning, you retain ownership. We agree to return clean linen on schedule. Any linen not collected within 30 days of delivery will be discarded.
  • Our Linen (Hire): Linen supplied under linen hire agreements remains our property. You are responsible for its safekeeping and normal wear and tear. Loss, theft, or damage beyond normal use is charged to you.
  • Wear & Tear: Normal wear resulting from regular laundering is included in our service. Damage due to misuse, staining, or neglect is the client's responsibility.
  • Damaged Linen: Linen with pre-existing stains, tears, or damage should be reported before collection. We cannot be held liable for damage we did not cause.
  • Linen Loss: In the event of linen loss, damage, or theft while in our care, we will replace the item at cost or provide credit at the replacement value (typically £50–150 per item depending on quality).
  • Shrinkage & Fading: Commercial laundering may result in minimal shrinkage or fading. This is normal wear and tear (not our responsibility if using our recommended linen specifications).

8. Limitations of Liability

To the maximum extent permitted by law:

  • Indirect Damages: We are not liable for lost profits, lost revenue, lost business opportunity, or indirect/consequential damages arising from our Services.
  • Cap on Liability: Our total liability for any claim shall not exceed the total fees paid by you in the 12 months preceding the claim.
  • Exclusions: These limitations do not apply to personal injury, death, or fraudulent misrepresentation.
  • Guest Claims: We are not responsible for complaints from guests, customers, or end-users of linen supplied through your business.
  • Service Delays: We are not liable for delays caused by traffic, weather, vehicle breakdown, staff absence, or circumstances beyond our reasonable control.

9. Stain Removal & Guarantees

  • Stain Success Rate: We make reasonable efforts to remove stains. Success depends on stain type, age, and linen composition. Some stains are permanent and cannot be removed.
  • Reporting: Stains or damage discovered after delivery must be reported within 48 hours. We cannot accept claims for defects discovered after 48 hours.
  • Re-Processing: Linen with stains suspected to be our error will be re-processed once at no charge. If stain persists, linen cannot be accepted for refund.
  • No Warranty: We make no express or implied warranty that stains will be removed or that linen will be restored to original condition. All linen is cleaned to industry standards.

10. Client Responsibilities

You agree to:

  • • Provide accurate collection and delivery addresses and contact details
  • • Make linen available for collection at agreed times
  • • Notify us immediately of any special handling requirements or damage
  • • Not mix personal or private linen with commercial linen without prior approval
  • • Not leave hazardous materials, sharp objects, or items within linen
  • • Maintain adequate staff to handle collection and delivery
  • • Notify us of any changes to contact details, address, or volume requirements within 7 days

11. Cancellation & Termination

  • Cancellation Policy: Cancellations made 7+ days before scheduled collection are free. Cancellations within 7 days incur a £50 cancellation fee. No-shows are charged at full service rate.
  • Contract Termination: Either party may terminate the service agreement with 30 days' written notice, provided all outstanding invoices are paid.
  • Immediate Termination: We may suspend or terminate service immediately if payment is 14+ days overdue, or if you breach material Terms.
  • Linen Return: Upon termination, all Company linen must be returned within 7 days. Outstanding linen is charged at replacement cost.

12. Confidentiality

Both parties agree to keep confidential any proprietary information, pricing, operational details, or business practices disclosed during the service relationship. This obligation does not apply to information already public, independently developed, or required to be disclosed by law.

13. Data Protection & Privacy

Your personal data will be processed in accordance with our Privacy Policy (available at snowlaundry.com/privacy) and UK GDPR. By using our Services, you consent to data processing as outlined in our Privacy Policy.

14. Intellectual Property

All content on our Site (text, images, logos, trademarks, software) is the intellectual property of Snow Laundry or licensed content. You may not reproduce, distribute, or use any content without our prior written consent. Client testimonials may be used for marketing with permission.

15. Liability Waiver

TO THE MAXIMUM EXTENT PERMITTED BY LAW, SNOW LAUNDRY IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. WE DISCLAIM WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE ARE NOT LIABLE FOR INDIRECT, INCIDENTAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES.

16. Dispute Resolution

  • Escalation Process: Disputes must first be reported in writing to hello@snowlaundry.com. We will respond within 5 working days with a resolution proposal.
  • Mediation: If not resolved within 14 days, either party may request mediation through a neutral third party (costs shared equally).
  • Arbitration: If mediation fails, disputes will be resolved through binding arbitration under UK law rather than court proceedings.
  • Small Claims: Either party may pursue claims under £10,000 in the Small Claims Court without restriction.

17. Governing Law & Jurisdiction

These Terms are governed by the laws of England and Wales. Both parties submit to the exclusive jurisdiction of the courts of England and Wales for any legal proceedings.

18. Third-Party Links & Services

Our Site may contain links to third-party websites. We are not responsible for their content, accuracy, or practices. Your use of third-party sites is at your own risk and subject to their terms of service.

19. Limitation on Damages

EXCEPT WHERE PROHIBITED BY LAW, YOUR SOLE REMEDY FOR ANY ISSUE WITH OUR SERVICES IS LIMITED TO RE-DELIVERY OF THE AFFECTED LINEN OR REFUND OF THE ASSOCIATED SERVICE CHARGE. IN NO EVENT SHALL WE BE LIABLE FOR LOST BUSINESS, LOST PROFITS, REPUTATIONAL HARM, OR INDIRECT DAMAGES.

20. Severability

If any provision of these Terms is found to be invalid or unenforceable, that provision will be severed and the remaining Terms will remain in full force and effect.

21. Entire Agreement

These Terms, together with your service agreement and our Privacy Policy, constitute the entire agreement between you and Snow Laundry regarding the Services. All prior negotiations and understandings are superseded by these Terms.

22. Changes to These Terms

We may revise these Terms at any time. Material changes will be announced via email or prominent Site notice. Continued use of our Services constitutes acceptance of revised Terms. The "Last updated" date above reflects the most recent revision.

BY USING OUR SERVICES, YOU ACKNOWLEDGE THAT YOU HAVE READ THESE TERMS OF SERVICE, UNDERSTAND THEM, AND AGREE TO BE BOUND BY THEM. IF YOU DO NOT AGREE TO THESE TERMS, PLEASE DO NOT USE OUR SERVICES.
